Firedesk is a product within the Magnitudeminds ecosystem that coordinates AI agents across business functions. In addition to the standard data practices described herein, Firedesk processes account, workspace, agent, and connector data in order to operate the service. Please review the Firedesk Data Section below for further details.

A. Information You Provide Directly

When you interact with our Services - including creating an account, contacting us, or using Firedesk - you may provide Personal Data such as:

  • Account Information: Your name, email address, contact details, payment information, and any other details provided during registration.
  • User Content: Data you supply as part of your interactions with our Services, including text inputs, file uploads (e.g., documents, images, audio), and any other content submitted.

For Firedesk specifically, we use additional workspace, agent execution, and connector data - such as task prompts, tool-call traces, and integration metadata - to operate the multi-agent orchestration service and improve its reliability.

  • Service Providers and Vendors: Third parties who perform services on our behalf (e.g., hosting, analytics, payment processing) under strict confidentiality agreements.
  • Business Partners and Affiliates: Entities within the Magnitudeminds group that help deliver our Services.
  • Legal and Regulatory Authorities: When required by law or to protect our rights, safety, and the security of our users.
  • Firedesk Sub-processors: For users of Firedesk, data is processed by trusted sub-processors (such as cloud hosting, model providers and observability vendors) that are contractually bound to protect your data. A current list is available on request.

We do not sell or trade your Personal Data for targeted advertising purposes.

4. Data Retention

We retain your Personal Data only for as long as necessary to provide our Services and to meet our legal and operational requirements.

The retention period depends on factors such as:

  • The nature and sensitivity of the information.
  • The purposes for which it is collected.
  • Applicable legal obligations.

For example, short-lived execution traces and checkpoints from Firedesk agent runs are retained for a limited period (typically up to 30 days) to support debugging, continuity and quality of service.

  • Data portability - receiving your Personal Data in a structured, commonly used format.

7. Firedesk-Specific Data Practices

Additional Data Collection:

When you use Firedesk, we process additional data needed to operate your workspace and the agents within it, including:

  • Account, organization and team membership data.
  • Agent configuration, skills, prompts and scheduled tasks that you or your teammates create.
  • Execution traces, tool calls and message history generated when agents run.
  • OAuth tokens and metadata for connectors you choose to enable (Google Workspace, Slack, HubSpot, GitHub, Microsoft 365, and others).

Purpose and Use:

This additional data is used to:

  • Operate the multi-agent platform, including the Orchestrator and specialist sub-agents.
  • Execute tasks against the tools you have connected, using the credentials you have authorized.
  • Provide observability (usage, cost, performance) for you and your administrators.
  • Diagnose errors, improve reliability and harden security of the service.

We do not use your Firedesk workspace content to train foundation models.

Sharing and Confidentiality:

Data processed through Firedesk is handled with strict confidentiality. OAuth tokens are encrypted at rest and injected into agent runs only at dispatch time. Model and infrastructure sub-processors are contractually bound to appropriate technical and organizational safeguards, and are used only to deliver the service.

8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make changes, we will revise the "Effective Date" at the top of this policy and notify you via our website or other appropriate channels. We encourage you to review this policy periodically to stay informed about how we protect your Personal Data.
